Language Services

Person sat at desk with headphones onThe Probation Service uses language services provided by the Big Word and Clarion via Ministry of Justice contracts.

  • The Big Word (TBW) provide telephone and face-to-face interpreting along with translation and transcription services.
  • Clarion provide non spoken interpreting for deaf or hard of hearing individuals.

Here is the guidance on how to access services provided by both organisations:

The Big Word (TBW)

If your details have been submitted prior to day 1 as requiring access to language service provided through TBW then you will receive an email during w/c 21.6.21 with a link to the booking portal.  Please follow the instructions on this link to activate your portal access.

This link will expire within 24 hours so please do log-on and change your password as prompted.  If the link expires please follow the guidelines on the email for resetting your account

If you did not receive an email with your link to the booking portal and you need to gain access then please email  moj@thebigword.com with you name, email address, telephone number, job title, organisation & location that the profiles need to be created under.

If you have not been given access and require this urgently on Saturday 26 or Sunday 27 June then please call The Big Word helpdesk on 0333 344 5701.

Services provided by TBW must only be used from the 26 June 2021.  Interpreting and translation requests prior to this date must go through your current providers.

Telephone interpreting is the Probation Service’s preferred method of interpreting.  This is an on-demand service.  Guidance is available on EQuiP that explains how you access this provision.

Once you have logged into WordSynk, your access codes and PIN will be available to you within the preferences section under ‘access codes’.

You will need both these codes when you dial into the telephone interpreting service, alongside the language code.

The number you need to dial for TI is 03333 445 702, and the language code information needed, is provided in the guidance.

If you are supporting a supervised individual with a rare language, this appointment can be booked in advance via the WordSynk booking portal.

Face-to-face interpreting.  We recognise that, on occasion, face-to-face interpreting will be required.  When needed, this can be booked via the WordSynk booking portal.  All administration of appointments, including amending, cancelling and confirming timings after the appointment can be completed via WordSynk.  Guidance on this is available in on EQuiP.

Translation and transcription requests also go through the WordSynk booking portal.

Clarion

If your details have been submitted prior to day 1 as requiring access to language service through Clarion, then you will receive an email with a link to access the booking portal provided by them.

If you did not receive an email with your link to the booking portal and you need to gain access then please email  legal@clarion-UK.com with you name, email address, telephone number, job title, organisation & region/PDU that the profiles need to be created under.

Services provided by Clarion must only be used from the 26 June 2021.  Interpreting requests prior to this date must go through your current providers.
