Background

We are modernising your digital tools to better support you with your work. We are reducing duplication in systems, streamlining processes and enabling better data recording and analysis, to support you with your workload management and decision making.

You told us that the end-to-end process for creating and varying a licence can be unnecessarily complex and burdensome. In addition, it does not consistently produce or track accurate, understandable licences.

We’re changing that.

Who needs to know?

  • Probation practitioners who currently send licence conditions to prison.
  • Case administrators in prison OMU teams.
  • Prison governors who sign licences.
  • Head of PDU’s who sign variations

What is it?

Create and vary a licence is a new digital service that allows probation practitioners to create licences for prison leavers, prisons to approve, print and share the licences, and probation practitioners to vary active licences (with PDU Heads approving the variations) for those already released

What’s happening when: roll-out

We will roll out the new Create and vary a licence (CVL) Service out to individual Prisons and Probation offices.

The early adopter region is Wales – excluding HMP Berwyn – and all Welsh probation areas and South Wales prisons have been included in the current roll-out.

What do I need to do?

When we have notified you that we have implemented the CVL service in your probation office or prison we want you to start using the new service. We will issue you with further information as part of the roll out. Briefing sessions are available on the following dates:

North East, North West, West Midlands

Yorkshire and the Humber; Great Manchester, South West

South Central, East of England; London, Kent Surrey Sussex

Suggested regions/events. If you cannot go to your designated event please attend another session

How it works

  • A notification will be emailed to the assigned Probation Practitioner, requesting they create a licence
  • Probation Practitioner selects the conditions they need and sends the licence to prison.
  • The OMU Case Administrators can view submitted licences and raise any queries with the Probation Practitioner
  • A Governor can view submitted licences and electronically approve them
  • Once approved, OMU Case administrators can print the licence
